MyLifeOrganized – My favorite tool for staying productive!

Gaining control over your everyday life is a crucial step to improving your productivity. Fortunately, today there are many different tools available to guide you along the path to a more organised and stress-free life. MyLifeOrganized (MLO) is one such tool that I have found to be particularly useful. What Is MyLifeOrganized?

MLO is a multi-platform scheduling/task-management software application with a flexible, intuitive interface that both “techies” and not-so-tech-savvy users can easily use on most operating systems and smartphones. MLO can help you to:

1. Prioritise

MLO can help you go beyond the rudimentary to-do list that is often of little benefit to most people. A to-do list that doesn’t take into consideration factors such as the context or priority of your tasks is bound to fail. The way MLO is set up, forces you to think about all the elements of your tasks, their importance and estimated duration, as well as how they fit into your day – this is what really sets it apart from many other similar apps. Instead of wasting time writing a meaningless list, with MLO, you have at your disposal a powerful means of controlling the outcome of your day.

2. Break down tasks

Failing to break down large tasks into smaller sections can lead to you underestimating the scale of the project, as well as the amount of time and work you will have to put into it – this is one of the biggest time management blunders that I see.

MLO not only lets you break down tasks into subtasks, but also to infinitely break down your subtasks into even smaller tasks! This allows you to gain clarity on everything that needs to be done and to realistically go about doing it, while avoiding the potentially disastrous effects of a derailed schedule.

3. Look at the bigger picture

While breaking down your tasks into smaller, more manageable ones is important, it is equally important to be able to look at your tasks within the context of a bigger picture. MLO lets you view your day as a snapshot with both your tasks and calendar together; this allows you to see, in one screen, all your activities and tasks, as well as all the gaps you may have in your day. This saves you the time and effort of switching back and forth between pages and apps. It also gives you more perspective on your schedule, making it easier for you to analytically reflect on your plans and progress.

4. Keep things from falling through the cracks

MLO lets you do this in two ways:

a) Location-based reminders – MLO can send you reminders of all the tasks you have to do in a specific location. For example, if you are next to a shopping mall, you will get a notification with your shopping list. This helps you to maintain the amount of flexibility required to optimise your time, taking into account schedule changes and the situation on the ground.

b) Create tasks via e-mail – Being able to e-mail myself a task or any thoughts that I get throughout the day has helped me keep track of my ideas and to make sure that they’re not forgotten. The notes are automatically sent to a specified email address, and can later be converted into tasks and placed under relevant projects. This way, I can focus more on my present actions/reality, without constantly having to remind myself not to forget about something in the future.
